What information we collect:

We may collect uploaded images, limited form information you choose to provide, technical metadata associated with the upload, moderation notes, consent records, and correspondence relating to privacy or support requests.

How we use your information:

We use uploaded images to operate the contribution feature, review image suitability, maintain system security, respond to support or privacy requests, and, where you have separately opted in, improve future versions of our models and internal research and development processes.

Service use and model improvement are separate:

If you upload an image for a service-related function, we process it for that purpose. We want to be clear that service use and model improvement must remain separate, and any model-improvement reuse must require separate opt-in consent. We will only use an uploaded image for model improvement where you have given this separate opt-in consent and the image passes our review and data-minimisation checks. ICO guidance requires clear privacy information, purpose transparency, and data minimisation when personal data is used in AI systems.

What you should not upload:

Please do not upload faces, children, private documents, letters, bills, number plates, or any other unnecessary personal information. Please only upload images that you own or are authorised to share.

Legal basis:

We rely on an appropriate lawful basis under UK data protection law depending on the purpose of processing. Where we use your image for model improvement based on your separate opt-in choice, we rely on your consent. You may withdraw that consent at any time. ICO guidance states that valid consent must be freely given, specific, informed, unambiguous, and capable of withdrawal.

How to withdraw consent:

If you previously agreed to model improvement use and later change your mind, you can contact us at privacy@homeforensicsai.com. We will review your request and take appropriate action in line with applicable law and our technical processes.

How long we keep data:

We keep personal data only for as long as reasonably necessary for the stated purposes, including security, support, moderation, model governance, audit, and legal compliance. Retention periods may differ depending on whether an image was uploaded for service use only or also contributed for model improvement.

Who we share data with:

We may share data with trusted service providers who help us host, store, secure, moderate, or support the platform, and with authorities where required by law. Where third parties process data for us, they do so under appropriate contractual controls.

Security:

We use technical and organisational measures designed to protect personal data, including access controls and appropriate security protections for data in transit and storage. ICO guidance recommends appropriate technical and organisational measures, including security controls and encryption where suitable.

Children:

This feature is not intended for children. Please do not upload images of children or submit contributions in a way that includes a child’s personal information unless there is a clear lawful basis and appropriate authority.

Your rights:

Depending on the circumstances, you may have rights to access, correct, erase, restrict, or object to the processing of your personal data, and to withdraw consent where consent is used.

Copyright and permissions:

By uploading an image, you confirm that you own it or have the necessary rights and permissions to share it with us for the selected purpose. Public availability does not automatically remove copyright concerns for AI-related use, and the UK government is still actively addressing copyright and AI policy.
